Great talking to you today! Here’s the proposal as promised. It goes over the entire Go High Level setup and what exactly gets built, how we connect it to Zenoti, how long this all takes, and how much it costs. I just scoped out the first phase we talked about for now. If you’d like a quote on building this out for all your locations, just let me know and I can do that with a little more info from you guys. What we’re doing

Solution 01
Saving GHL leads in Zenoti
After a lead lands in GHL, we’ll create the guest profile in Zenoti or update the existing one.
Solution 02
Updating GHL with Zenoti bookings
When appointments are booked, or there are no shows/cancellations, GHL should automatically update the pipeline stage of the corresponding contact.
Solution 03
Sending GHL Invoice Information from Zenoti
When invoices are closed, we should pull the information about the sale and update the opportunity and contact in GHL.

We get on a call, collect the Zenoti and GoHighLevel credentials, agree the stage names and confirm the appointment status codes with your Zenoti contact. Everything needed to start, handled in one sitting.

All four workflows built in GoHighLevel across the tenants in this phase, running against test data.

Testing and your review call3-4 days

I test it end to end on each tenant, then we get on a call and walk it before anything goes live. Nothing switches on until you have seen it and signed it off.

Go live, handover, then 30 days1 week

The phase goes live. Handover call with your team, Looms and documentation delivered, then 30 days of support on me for anything that comes up.

Potential Roadblocks

  • Each Zenoti tenant needs its own API key, and webhooks need the Zenoti API package enabled with the Manage API Keys, Manage Apps and Manage Automation permissions. Three tenants in phase one means three of these to line up, and it is the thing most likely to move a start date.
  • Zenoti has no developer sandbox, so testing happens in your own environments on a plan agreed at kickoff, proving one tenant before the others.
  • You mentioned moving everyone onto one corporate Zenoti within the year. The build is written to absorb that, but the changeover will still need a re-point and a re-test when it happens.

Terms of Engagement

Clause 01

Scope of Work

The Service Provider will deliver the project as described in this proposal document for Manor Aesthetics, dated August 5, 2026. The scope of work, deliverables, and timeline are defined in the proposal and incorporated by reference into this agreement.

Any work beyond the defined scope requires a written change order approved by both parties before work begins. Change orders will include updated timeline and investment.

Assumptions & Exclusions

  • Pricing is per Zenoti tenant and per location. Phase one is three tenants and four locations. Later phases are priced the same way once we have the tenant count for them.
  • The integration is built inside GoHighLevel workflows, as agreed. No external automation platform is introduced.
  • Scope is the four workflows your Zenoti contact listed. Anything beyond them is quoted separately.
  • Only lead tracking data crosses between systems. Treatment notes and clinical detail stay in Zenoti, which keeps this clear of the HIPAA concern Nicole raised.
  • Marketing funnels, email content and campaign work are not included. This builds the pipeline and the data your marketing team then works on top of.
  • Support past the first 30 days is not included but can be discussed later if you’d like me to maintain this setup.

Acceptance Criteria

  • A new GoHighLevel lead who already exists in Zenoti produces no second guest profile, and one who does not is created with the guest id written back.
  • A booking, a no-show, a cancellation and a closed invoice each move the opportunity to the stage you agreed.
  • A closed invoice writes the sale detail onto the contact, split by what was sold.
  • Every location in the phase works on its respective Zenoti tenant.
  • Your team can follow the Looms and documentation to QA a workflow.
Clause 02

Payment Terms

Total project investment: $2,340. Payable in milestones as follows:

  • Upon signing: $1,170 (50%)
  • On completion: $1,170 (remaining balance)

How it prices: three Zenoti tenants at $540 each, plus four locations at $180 each, for a phase total of $2,340. Nothing is committed beyond this phase. Handled through Upwork as a fixed-price contract, half up front and half on completion. One step on your side: send me an Upwork offer with the price above and I’ll accept.

Clause 03

Client Obligations

To ensure timely delivery, the Client agrees to provide the following:

  • Zenoti admin access to each tenant in the phase, collected at the kickoff call
  • GoHighLevel manager access across the sub-accounts in the phase
  • The Zenoti API package enabled on each tenant, with the API permissions set

Delays caused by late access or materials may extend the project timeline accordingly.

Clause 04 & 05

IP & Confidentiality

Upon receipt of full payment, custom work product transfers to the Client. Service Provider retains rights to general methodologies. Both parties agree to keep confidential any proprietary information shared during this engagement (survives 2 years).

Clause 06, 07 & 08

Support, Termination & Disputes

Post-launch maintenance included as described. Either party may terminate with 7 days written notice. Disputes addressed through good faith negotiation, then binding arbitration.

Acceptance

To get started, just send me an Upwork offer for $2,340 and I’ll accept it. It runs as a fixed-price contract through Upwork, half up front and half on completion, and the kickoff call goes in the calendar as soon as it is funded.

Upwork engagement: Acceptance, contracting, and all payments for this project will be completed through Upwork.
